Your first assignment will be to organize those records and help implement an accounting system. Responsibilities Set up accounting software, preferably QuickBooks Online, subject to confirming our needs. Review existing records and establish accurate opening balances with our outside accountant. Reconcile bank and credit card accounts. Organize signed contracts, project fees, billing milestones, and approved additional services. Prepare invoices, record payments, and follow up professionally on overdue balances. Track outstanding invoices separately from fees not yet billed. Coordinate with project managers to confirm billing milestones and project costs. Prepare weekly cash forecasts and monthly financial reports. Organize bills and payroll information for owner approval. The owner will retain payment approval. Tax advice and filings will be handled by an outside accountant. Required experience Previous bookkeeping experience supporting U.S. businesses. Hands-on experience setting up accounting software and cleaning up existing records. Experience with project accounting, invoicing, accounts receivable, and bank reconciliations. Strong spreadsheet skills and clear written English. Ability to work independently, document processes, and handle confidential information carefully. Experience with architecture, engineering, construction, or professional-service firms is strongly preferred. QuickBooks ProAdvisor certification is a plus. Project Overview We are seeking an experienced plush toy product development specialist to create a complete, manufacturing-ready technical specification package for a custom plush toy in three sizes. We already have an existing visual reference and require someone who can accurately translate this into a premium-quality physical plush toy, with comprehensive technical specifications suitable for direct submission to manufacturers in China. This is not simply a character illustration or concept design project. We require an end-to-end manufacturing documentation package covering every aspect of the product, including its physical appearance, dimensions, construction, materials, components, safety requirements, applicable Australian standards, quality control and testing requirements. Our objective is to provide a Chinese manufacturer with everything necessary to accurately manufacture the product without having to make independent design or material decisions. Product Sizes We require three variations: 10 cm: Miniature plush keyring 35 cm: Standard plush toy 60 cm: Large premium plush toy All three must maintain the same character appearance and proportions wherever practical, with appropriate design adjustments to accommodate the different sizes and safety requirements. 1. Product Design & Technical Specifications Using our existing reference, develop: Detailed front, back, side and perspective illustrations. Accurate measurements, dimensions and proportions for all three sizes. Detailed construction drawings, sewing patterns and individual component specifications. Embroidery, facial feature and placement specifications. Seam positioning, stitching methods and assembly instructions. Stuffing quantities, density and firmness requirements. Weight targets, dimensional tolerances and quality requirements. Keyring hardware and attachment specifications for the 10 cm version. Appropriate visual adjustments to maintain consistent character appearance across all sizes. Where necessary, provide 3D visual mockups showing how the final plush toys should appear. 2. Complete Materials & Component Specifications We want the finished product to have a premium, luxurious, velvet-like texture. The successful candidate must recommend and specify the exact materials required, including: Outer fabric composition, material grade, GSM, pile length, texture and finish. Recommended velvet, velour, minky or equivalent premium plush materials. Fabric colour specifications and Pantone references where appropriate. Internal stuffing material, composition, density and weight. Embroidery threads, stitching materials and relevant construction components. Internal linings, reinforcements and additional materials, where necessary. Keyring hardware composition, dimensions and attachment methods. Material durability, colourfastness, cleaning and maintenance requirements. Appropriate material safety and flammability performance specifications. A complete Bill of Materials (BOM) must be supplied for each size, identifying every component and its specifications. All material selections must be commercially available to Chinese manufacturers and suitable for consistent mass production. 3. Australian Toy Safety & Regulatory Compliance This is an essential part of the project. These products will be manufactured in China, imported into Australia and supplied to Australian consumers. We require a specialist with proven knowledge of Australian toy safety requirements or experience working alongside qualified toy compliance and testing specialists. The completed documentation must address all applicable Australian safety and regulatory requirements, including, where relevant: Australian Consumer Law and ACCC product safety requirements. The Consumer Goods (Toys for Children up to and including 36 Months of Age) Safety Standard 2023. AS/NZS ISO 8124.1 – Mechanical and physical toy safety. AS/NZS ISO 8124.2 – Flammability. Applicable requirements for migration of lead and other harmful elements, including AS/NZS ISO 8124.3 and the relevant mandatory Australian safety standard. Age grading and foreseeable-use assessment for each product size. Choking hazards, detachable components, seam strength, tensile testing and stuffing accessibility. Fabric and filling safety, chemical restrictions and other relevant material requirements. Safety considerations specific to the miniature keyring and its hardware. Applicable packaging, warning label, country-of-origin and importer information requirements. The candidate must identify which requirements are legally mandatory, which are recommended industry standards, and which are not applicable. We also require a clear testing and compliance checklist identifying: The testing required for each product variation. The relevant testing standards and acceptance criteria. Documents, laboratory reports or certifications required or recommended before importation and sale in Australia. Any product design or material restrictions necessary for compliance. Suitable independent testing laboratories in China, such as SGS, Intertek or Bureau Veritas. We understand that final product testing and formal reports may need to be obtained separately from accredited testing laboratories once physical samples have been manufactured. However, the successful candidate must ensure that the specifications are developed with these requirements in mind from the beginning. 4. Manufacturing & Quality Control Documentation Provide comprehensive factory production instructions, including: Complete manufacturing tech packs for each of the three sizes. Detailed material and component schedules. Manufacturing tolerances and workmanship standards. Assembly and finishing instructions. Inspection and quality control checkpoints. Prototype sampling and approval criteria. Product durability and consistency requirements. Packaging, labelling and handling specifications. Clear instructions prohibiting unapproved material or component substitutions. The documents must be detailed enough for a factory to quote production costs, source materials, develop prototypes and manufacture the approved product consistently. 5. Final Deliverables We expect to receive: Three complete factory-ready technical specification packs (10 cm, 35 cm and 60 cm). Detailed technical drawings, dimensions and production patterns. Complete Bill of Materials for every product variation. Exact fabric, stuffing, thread, hardware and component specifications. Manufacturing, assembly and quality control instructions. Australian regulatory compliance assessment and testing requirements matrix. Packaging, warning label and country-of-origin specifications. Prototype inspection and approval checklist. Editable source files and final PDF documentation suitable for direct submission to Chinese factories.
